Triagist AI ("Triagist AI", "we", "our", "us") operates https://triagistai.com (the "Platform"). This Privacy Policy describes how we collect, use, process, disclose, and protect information in connection with our AI-powered healthcare software services.
Scope
This Policy applies to:
Website visitors
Customers (clinics, hospitals, healthcare providers)
End users (patients whose data may be processed through our platform)
We act as:
Data Processor for patient data processed on behalf of healthcare providers
Data Controller for business/contact data we collect directly
3. How We Use Information
We use data to:
Provide clinic software, including appointment booking, reminders, and patient communication
Provide optional AI features such as medical scribing, AI receptionist, and workflow automation
Create a Google Calendar event and Google Meet link when a virtual appointment is scheduled (only if Google Meet is connected)
Ensure security, fraud prevention, and compliance - Provide customer support
We do not sell personal or health data.
We do not use personal data, health data, or Google Workspace API data (raw, aggregated, anonymized, or derived) to create, train, fine-tune, or otherwise improve foundational or generalized machine learning or artificial intelligence models—ours or a third party’s
4. AI & Automated Processing
Our platform uses AI services to generate transcripts, summaries, drafts, and similar assistive outputs.
Outputs are assistive in nature and may not always be accurate
Healthcare professionals must review outputs before use
We do not make autonomous medical decisions
Audio and transcript of that live consultation may be processed by our subprocessors solely to produce a clinical note for the treating clinician. That content is not used by Triagist to train or improve generalized AI models.
5. Google Workspace APIs - Limited Use
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. In particular:
We use Google Calendar only to create virtual-appointment events with a Google Meet conference on the connected account’s primary calendar, and to obtain the Meet URL and event identifier for that appointment.
We do not transfer Google Workspace API user data to third parties for them to train, improve, or create AI/ML models.
We do not sell Google user data.
We do not use Google user data for serving advertisements.
Human access to Google user data is limited to security, compliance, and support cases, and is not used for unrelated product development.
The connected Google account email is shown in clinic settings so administrators know which account is linked. Administrators may disconnect the integration at any time.
6. International Data Transfers
Data may be processed outside India. We ensure appropriate safeguards such as:

7. Data Retention
We retain data only as long as necessary for:
Service delivery
Legal and compliance obligations
Customers may request deletion subject to legal requirements. OAuth tokens for a disconnected Google integration are no longer used to access that Google account.

Encryption (in transit and at rest)
Role-based access control
Audit logs and monitoring
No system is completely secure; users share data at their own risk.

10. Children's Privacy
Our services are not intended for individuals under 18. We do not knowingly collect children's data.
11. Updates to Policy
We may update this Policy. Continued use of the Platform constitutes acceptance of the updated Policy. Material changes (including to our Google Workspace / Limited Use practices) will be reflected by updating the “Last Updated” date above.
12. SMS & Communications
Triagist AI may send transactional SMS messages to patients on behalf of healthcare providers and clinics using the Triagist AI platform. These messages may include appointment confirmations, appointment reminders, appointment cancellations or rescheduling notifications, prescription availability notifications, billing or invoice notifications, and one-time verification codes.
Patients may provide their mobile phone number during an online appointment-booking process or other interaction with a healthcare provider using Triagist AI. Where applicable, patients may separately consent to receive transactional SMS communications related to their appointments and requested healthcare services.
Message frequency varies depending on the patient's appointments, requests, and interactions with the healthcare provider. Message and data rates may apply.
Patients may opt out of SMS communications by replying STOP to an applicable message. Patients may request assistance by replying HELP or by contacting Triagist AI at contact@triagistai.com.
We do not share, sell, or provide mobile phone numbers or messaging consent data to third parties or affiliates for marketing or promotional purposes.
Triagist AI may share mobile phone numbers and related messaging information with communication service providers, such as SMS and telecommunications providers, solely as necessary to deliver the requested transactional communications. These service providers are not permitted to use mobile phone numbers or messaging consent data for their own marketing or promotional purposes.
